When you first call a business moving company, they will likely arrange a time to come see your office space and the items that are moving to give you a proper estimate. This article includes a checklist for preparing for the first meeting with a business moving company.

Be aware of the company and contact name, and request a business card if one isn’t given. This will assist in ensuring it is a reputable company and that you know how to follow up with if you have any questions.

Allow an appropriate amount of time based on office space for the initial meeting.

If you have access to floor plans for the current and future location, giving a copy to the business moving company will help in the accuracy of the estimate.

Be aware yourself of what is moving and what is not moving (i.e cubicles are moving but you are moving your own computers/servers). A business moving company can always give an estimate for server room moving but it’s not mandatory to accept the service if you would rather have your own technicians do it.

Be able to show the contact from the business moving company each room that has items moving. If a meeting room is occupied, have a comparable one to show or an outline of what is moving in the room.

Don’t forget about common areas, such as the kitchen, or break rooms.

Inform the business moving company about timelines for your move and any specific requirements such as only being able to move during certain times, and whether moving elevators or available or only stairs.

Prior to end of the meeting with the business moving company, inquire as to when to expect an estimate. It often can take 2-3 business days but if you need it sooner, feel free to communicate so they can do their best to accommodate your needs.
