Selecting a Computer Classroom Rental vendor

By: Olivia Cain

Price should not be the only consideration in renting a computer classroom, there are a lot of other factors you should consider when choosing to rent a computer classroom.

First, the obvious question: do the specifications of the classrooms computers meet the technical requirements of the training? You need to check the computer's CPU speed, its memory, and the size and number of hard drives. You will also want to make sure that the type and size of the monitors meet your needs.

Next, you need to inquire about technical support. Is there a dedicated technical support person on site who has the expertise to install and support the software you will be using? Be sure that a technician will be on site the entire time that the classroom is being utilized to handle any problems that might occur.

You also need to check the physical characteristics of the classroom. Make sure it is large enough so that each student has adequate space for monitors, manuals and room to take notes. Make sure the projector is high quality and that there are whiteboards, flipcharts or other media for the instructor to use.

Often overlooked is the aspect of heating and air conditioning. You don't want your students to be freezing or overheated. The ideal configuration is for the classroom to have its own controls so that heat and air conditioning can be adjusted accordingly for the comfort of students present.

Also, be sure to inquire about other amenities that are available for your students. Does the rental fee include beverages and snacks? If not, is there a per person charge for catering? Is there a break room in the facility available to the students? Can lunch and/or dinner be catered? If students are traveling, how close are the nearest hotels? Are there any hotels within walking distance or is other transportation needed? Are there negotiated rates with area hotels for your students?

Finally, consider the building itself. Is it centrally located and easy to find? Is the building modern and attractive (class A or B). Do the classrooms have windows? Is free parking available at the facility for attendees? If not, find out what fees the attendee can expect to pay. Also, if free parking is not available, you may want to make prior arrangements to cover the cost.

In following these guidelines you will help to ensure a successful training event by providing a comfortable and hassle free environment for your attendees.
